Organization Description: Ballet San Jose School, established in 1996, is the official school of Ballet San Jose, a professional not-for-profit ballet company. Under the direction of Lise la Cour, former Associate Director of the Royal Danish Ballet, this growing school offers training for hundreds of students, ages 4 years old to adult.
Job Title: School Registrar Description Summary: The School Registrar is responsible for all aspects of the students’ enrollment, including the application process, scheduling placement classes, tuition collection, processing the tuition payment, informing students regarding the schedule, policies, dress code, and if necessary, fitting the students in the dress code and selling those items. The School Registrar maintains the school’s database with all students’ personal, medical, enrollment, and billing information, takes inventory and creates reports for each day’s sales. The Registrar assists the School Administrative Director in general administrative duties including mailings, filing, maintaining the school lobby, and working at all auditions and performances.
Primary Responsibilities 1. Enrollment and Sales a. Provides applications to potential new students, communicates with parents directly, to answer all related questions b. Enters application information in database, maintains this database c. Collects and processes payment for tuition and merchandise, enters payment data in financial tracking spreadsheet, maintains this spreadsheet d. Creates daily sales and monthly inventory reports e. Makes collection calls as necessary f. Fits and sells school merchandise 2. General School Administration a. Creates and updates attendance sheets, takes daily attendance for professional division b. Assists School Administrative Director with mailings, copies, posting signs, helping at auditions, chaperoning at performances, maintaining school lobby and studio appearance c. Closes the offices at the end of each night, waits with students if parents are late d. Is the general “go-to” person for all parent and student needs and questions, and is available to the School Administrative Director and School Director to assist with special events, projects, and classes when necessary.
Requirements: Previous dance experience is not required. Associate’s Degree minimum, with 2 years of previous administrative and retail experience. Must be highly organized, able to multi-task, prioritize and manage time. Must have excellent communication skills and enjoy working with people, especially children. Experience with Filemaker Pro and Microsoft Office requested. Must be able to work weekends and evenings.
Regular schedule is Tuesday – Friday, 1:00 – 9:00 p.m. and Saturdays, 9:00 a.m. – 5:00 p.m. During the month of August, training schedule will be Monday – Friday, 9:00 a.m. – 5:00 p.m. Compensation: $15 per hour, full health and dental benefits, vacation time starting at 10 days per year, and 12 sick days per year. Two free tickets to Ballet San Jose performances, free adult ballet classes, and the opportunity to work for a professional ballet school, company, and an amazing creative team of world renowned artists.
