The Production and Outreach Assistant at Stanford Lively Arts is responsible for working closely with the Artist Liaison and Community Outreach Manager and Campus Programs Manager to assist with the day-to-day implementation of all Lively Arts performances, numbering 40-50 per year, and education/engagement events, numbering over 80 per year. This position serves as the primary point of contact for artists, tour managers and campus and community partners, and coordinates logistics, including travel, housing, local transportation, and scheduling under the supervision of the Community Outreach Manager and Campus Programs Manager.
DUTIES AND RESPONSIBILITIES: 40% - Act as point of contact for artists during their residency including, but not limited to: Providing support to artists backstage immediately prior, during, and following performances, generating and updating hospitality information for artist and manager use in welcome packets, delivering packets to hotels, welcoming artists and tour managers, fulfilling needs for guest artists including setup and cleanup of artists’ backstage hospitality and dressing rooms, shopping errands/orders for backstage food and supplies, arranging for travel and transportation, and coordinating schedules for rehearsals, performances and associated community and campus events. 30% - Implement selected (by managers) residency activities and liaise with artists and their tour managers and with appropriate university and community contacts, for such events as master classes, lecture/demonstrations, pre- and post- performance discussions, informal campus performances, and workshops. 10% - In coordination with supervisors, interact with lodging and transportation providers and other vendors as required, secure appropriate rehearsal facilities and cost estimates, secure other needed goods and services, monitor orders and invoices for accuracy, and assist supervisors in the maintenance of artist services budget by researching and compiling hospitality and related services cost estimates. 5% - In coordination with Marketing, assist in promotion and audience development for on-campus programs, performances and events, including e-mail marketing and on-campus flyer posting, and assist in updating of campus and community portions of the Lively Arts website. 5% - Assist with the research and development of materials for campus and community outreach events including, but not limited to, campus-based activities, student matinee and professional development workshop guides and mailings. 5% - Generally assist Artist Liaison and Community Outreach Manager and Campus Programs Manager, and other Lively Arts staff at performances and receptions as assigned. 5% - Participate in emergency preparedness training, and implement emergency procedures as necessary. Other duties as assigned
QUALIFICATIONS: Required qualifications include a minimum 2 years experience in performing arts production management or artist services including proven ability in problem solving, creating contingency plans, acting flexibly, and handling emergencies calmly and with superior judgment in stressful and unpredictable situations. Must possess sound judgment, tact and diplomacy in dealing with a variety of personality types, superior organizational abilities, punctuality, attention to detail, initiative and independence. Demonstrated ability to finish projects on time and under tight deadlines, and to keep several jobs moving forward at one time, as well as solid experience working within budgetary limits is required. Knowledge and proven ability to work skillfully with computers, specifically Macintosh and programs such as FileMaker Pro, Excel, and Word. Experience working in graphic design software (Adobe Suite) strongly desirable. Ability and willingness to work numerous nights and weekends during the performance season is critical to the success of this position. In addition, the position requires the ability and willingness to pick up and deliver event materials and lift and carry up to 40 lbs, a valid California driver’s license, and ability and willingness to load, unload, and drive department van. Preferred qualifications include some background in technical aspects of music or theater production.
